From account creation to your first set of insights in under ten minutes. Follow the steps below in order.

Setup steps

Create your account

Head to the signup page and create an account using your work email. You will receive a verification email — click the link to activate your workspace.

Add company context

During onboarding you’ll describe your product, primary audience, and top goals. This context is used by the AI extraction pipeline to tailor insights to your business. You can revise these later in Settings.

Connect your first data source

Hearflow ingests calls, transcripts, spreadsheets, and chat messages. Pick the source where most of your customer feedback already lives — usually a meeting-recording tool such as Zoom or Fireflies. Browse the full list in Integrations.

Wait for your first insights

Hearflow runs an initial backfill, downloading recent transcripts and clustering them into insights. Most workspaces see their first results within a couple of hours depending on volume. The Insights dashboard shows each cluster with frequency, category, and evidence quotes.

Invite your team

Insights are most valuable when product, engineering, and customer-facing teams see them together. Send email invites from Team Settings. Roles control who can change workspace settings and billing.

What to expect in the first 24 hours

Backfill in progress — After connecting an integration, Hearflow imports up to 60–90 days of historical conversations. Expect to see insights appearing progressively as transcripts are processed.
Clusters will sharpen over time — The more data Hearflow ingests, the better the clustering. Duplicate or near-duplicate feedback is merged automatically so top themes rise to the top of the dashboard.
Invite teammates early — Insights are actionable when the whole team can see them. Invite at least one product manager and one customer-success teammate during setup.
