Connect Fathom
Open Hearflow settings to connect your Fathom account.
Prerequisites
- A Fathom account with meeting recordings
- Permission to authorize third-party apps for your workspace
Hearflow only processes meetings that have a transcript available in Fathom. Recordings without transcripts are skipped.
Connecting Fathom

Open Settings
Log in to Hearflow and go to Settings.

Find Fathom in Integrations
Scroll to the Integrations section and locate Fathom.

Click Connect
Click Connect next to Fathom. You’ll be redirected to Fathom’s authorization page.

Authorize Hearflow
Review the requested permissions and click Allow to grant Hearflow access to your meetings and transcripts.

Backfill begins
After authorization you’ll be redirected back to Hearflow. We start importing recent meetings in the background.
Connection successful — Once connected, you’ll see a green “Connected” badge next to Fathom in Settings. First insights typically appear within a few hours, depending on the number of meetings.
How it works

Initial backfill
On first connect, Hearflow imports your recent Fathom meetings, fetches each meeting’s transcript and summary, and queues them for analysis.

Scheduled sync
Hearflow checks Fathom for new meetings on a recurring schedule and processes any that have a completed transcript. Cadence depends on your plan — see sync cadence. No manual action required.

AI analysis
Our AI analyzes each transcript to identify feature requests, pain points, bugs, pricing feedback, usability issues, workflow gaps, and blockers.

Insight clustering
Similar insights are grouped into clusters. Each insight shows frequency and includes evidence quotes from the original meeting transcripts.
Data access and privacy
Hearflow requests the minimum permissions needed:What we access
- Meetings — list of meetings and their metadata (title, date, duration, participants)
- Transcripts — full transcript text for each meeting
- Summaries — Fathom-generated meeting summaries
- Video or audio files (we only process transcripts and summaries)
- Live meetings or real-time data
- Your contacts or calendar
- Other users’ accounts
Security and encryption — All data is encrypted in transit (TLS 1.3) and at rest (AES-256). OAuth tokens are stored encrypted. See our Privacy Policy for complete details.
Managing your integration
Go to Settings → Integrations to view your Fathom connection status, including:- Connection status (Connected/Disconnected)
- Last sync time
- Number of meetings processed
Disconnecting Fathom

Open Settings
Navigate to Settings.

Find Fathom
Scroll to the Integrations section and locate Fathom.

Click Disconnect
Click Disconnect and confirm. This revokes Hearflow’s access to your Fathom account.
Troubleshooting
No meetings appearing?
No meetings appearing?
Make sure your Fathom account has recorded meetings with transcripts. Newly recorded meetings can take a short while to become available via Fathom’s API.
Connection expired?
Connection expired?
OAuth tokens can expire or be revoked. Click Reconnect in Settings to refresh the connection. If the granted permissions don’t include the required scope, you’ll be prompted to re-authorize.

Hearflow only processes meetings that have a transcript in Fathom. Meetings without a transcript are skipped.
