Every lever that shapes how Hearflow extracts insights for your company. Open Settings to follow along.

Company context

Describe your product, target audience, and primary business goals. The AI extractor uses this context to tailor categories and filter out irrelevant feedback.
  • Product description — one or two paragraphs that explain what you build and who uses it.
  • Business goals — priorities for the current quarter. Used to surface insights that match your goals.
  • Audience & segments — who your customers are. Helps the extractor weight relevant quotes.

Product areas

Define the high-level areas of your product (e.g. “Billing”, “Onboarding”, “Mobile app”). Insights are automatically routed to the most relevant area so product managers can slice the dashboard by ownership. Product areas are user-controlled — Hearflow never auto-creates them. You control the taxonomy.
Start with 5–10 areas — Keep the list short. Fewer, well-scoped areas lead to more meaningful clusters and easier prioritization conversations.

Custom prompts

Add domain-specific instructions to the extraction pipeline — internal jargon, features the AI should ignore, or nuanced category definitions. Prompts apply to all future extractions for your workspace. They are not retroactive; existing insights are not re-extracted automatically.

Sync controls

Each integration exposes sync controls directly on its card in Settings:
  • Pause sync — temporarily stop polling without disconnecting.
  • Trigger manual sync — force an immediate poll (rate-limited).
  • Backfill window — choose how far back to import on first connect.

Sync cadence

Hearflow’s polling cadence is set by your subscription plan:

Set your preferred sync day (Monday–Sunday), sync hour (0–23), and timezone (any IANA timezone) from Settings. Starter workspaces only poll on the chosen day; Pro and Enterprise workspaces poll daily regardless of the configured day.
Sync day and hour control when ongoing polls run. They do not affect manual syncs or the initial backfill, which run immediately.

AI budget

Hearflow meters AI spend per workspace. Your plan sets a monthly ceiling; the Settings page shows current usage, forecast, and the per-integration breakdown. When the budget is exhausted, Hearflow pauses new extractions until the next billing period or until you upgrade. Insights already extracted are not affected.
