The Zoom integration allows Hearflow to access your cloud recordings and their transcripts. We automatically analyze these transcripts to extract valuable product insights, feature requests, pain points, and other feedback from your customer conversations.

Prerequisites

  • A Zoom account (Pro, Business, or Enterprise)
  • Cloud Recording enabled in your Zoom settings
  • Audio transcription enabled for recordings
Hearflow only processes recordings that have transcripts available. Make sure transcription is enabled in your Zoom settings before your meetings.

Connecting Zoom

Follow these steps to connect your Zoom account to Hearflow:

Navigate to Settings

Log in to your Hearflow account and go to Settings from the navigation menu.

Find the Integrations Section

Scroll down to the Integrations section where you’ll see available data sources including Zoom.

Click Connect Zoom

Click the Connect button next to Zoom. This will redirect you to Zoom’s authorization page.

Authorize Hearflow

Review the permissions requested and click Allow to authorize Hearflow to access your Zoom recordings and transcripts.

Backfill Begins

After authorization, you’ll be redirected back to Hearflow. We’ll automatically start importing your recent recordings (last 60-90 days) in the background.
Connection Successful — Once connected, you’ll see a green “Connected” badge next to Zoom in your Settings. Your first insights should appear within a few hours depending on the number of recordings.

How It Works

Initial Backfill

When you first connect, Hearflow imports your cloud recordings from the last 60-90 days. We download the transcripts (VTT files) and process them to extract insights.

Daily Sync

Every 24 hours, Hearflow automatically checks for new recordings and processes any that have completed transcription. No manual action required.

AI Analysis

Our AI analyzes each transcript to identify product insights including feature requests, pain points, bugs, pricing feedback, usability issues, workflow gaps, and blockers.

Insight Clustering

Similar insights are automatically grouped into clusters. Each insight shows frequency (how many times it’s been mentioned) and includes evidence quotes from the original transcripts.

Data Access & Privacy

Hearflow requests only the minimum permissions needed to function:
What We Access
  • Cloud Recordings — list of your cloud recordings and their metadata (title, date, duration)
  • Transcripts — VTT transcript files associated with recordings
  • User Profile — basic profile info (name, email) to identify the connection
What We Do NOT Access
  • Video or audio files (we only process transcripts)
  • Live meetings or real-time data
  • Your contacts or calendar
  • Other users’ accounts or data
Security & Encryption — All data is encrypted in transit (TLS 1.3) and at rest (AES-256). OAuth tokens are stored encrypted using industry-standard practices. We never store your Zoom password. See our Privacy Policy for complete details.

Managing Your Integration

View Connection Status

Go to Settings → Integrations to view your Zoom connection status. You’ll see:
  • Connection status (Connected/Disconnected)
  • Last sync time
  • Number of recordings processed

Disconnecting Zoom

You can disconnect your Zoom integration at any time. Here’s how:

Go to Settings

Navigate to Settings in your Hearflow dashboard.

Find Zoom Integration

Scroll to the Integrations section and locate Zoom.

Click Disconnect

Click the Disconnect button. A confirmation dialog will appear.

Confirm Disconnection

Confirm that you want to disconnect. This will revoke Hearflow’s access to your Zoom account.
What Happens When You Disconnect
  • Hearflow will no longer sync new recordings from your Zoom account
  • Existing insights extracted from your recordings will remain in Hearflow
  • You can reconnect at any time to resume syncing
  • To delete all your data, contact [email protected]

Removing from Zoom Marketplace

You can also remove Hearflow directly from your Zoom account:
  1. Log in to zoom.us
  2. Go to Settings → Apps (or visit the Zoom App Marketplace)
  3. Find Hearflow in your installed apps
  4. Click Uninstall or Remove

Troubleshooting

Make sure cloud recording and transcription are enabled in your Zoom settings. Recordings may take a few hours to process after the meeting ends.
OAuth tokens can expire. Simply click “Reconnect” in your Settings to refresh the connection.
Hearflow only processes recordings that have transcripts. Ensure audio transcription is enabled before your meetings in Zoom settings.
